Terms and Conditions

These Terms and Conditions apply to catering services and products supplied by MGT Club Catering Ltd, trading as Event Kitchen (“Event Kitchen”, “we”, “us” or “our”).

By placing an order, accepting a quotation or paying a deposit, you confirm that you have read and accepted these Terms and Conditions.

  1. Our business details

Trading name: Event Kitchen
Legal entity: MGT Club Catering Ltd
Company registration number: 730411
Email: info@eventkitchen.ie
VAT number: IE4088138NH

  1. Orders

Orders may be placed through our website or agreed directly with our team.

An order is not confirmed until:

  • You receive written confirmation from Event Kitchen; and
  • Any required deposit or full payment has been received.

An automated acknowledgement does not necessarily mean that an order has been accepted. We may contact you if an item is unavailable, information is incomplete or the order cannot be fulfilled.

Customers are responsible for checking that all details are correct, including the delivery address, date, time, guest numbers, menu selections and dietary information.

  1. Prices

All prices are shown in euro.

Unless otherwise stated, prices are quoted per person and are based on the applicable minimum order quantity.

The order confirmation or quotation will state whether delivery, staffing, equipment, crockery, cutlery, collection and other services are included.

Additional charges may apply for:

  • Delivery outside our standard service area;
  • Difficult or restricted access;
  • Extended waiting time;
  • Additional staff or service hours;
  • Equipment hire;
  • Collections outside agreed times;
  • Changes requested after confirmation; or
  • Services not included in the original order or quotation.

Any applicable VAT will be included or clearly identified before the order is confirmed.

  1. Minimum orders and notice periods

Minimum guest numbers and ordering deadlines vary between products.

The relevant minimum quantity and required notice period will be displayed on the product page or included in your quotation.

Some standard products may be ordered with 48 hours’ notice. Larger, bespoke or more complex events may require at least seven days’ notice.

We may accept a late order at our discretion, subject to availability. A late-order charge may apply where additional purchasing, production or staffing is required.

  1. Payment

Standard online orders must be paid in full when the order is placed unless otherwise agreed.

For bespoke events, we may require a deposit to secure the date. The deposit amount and payment schedule will be set out in the quotation.

Unless the quotation states otherwise:

  • A 25% deposit is required to confirm a bespoke booking; and
  • The outstanding balance must be paid no later than seven days before the event.

A date remains available to other customers until the required deposit has been received.

Orders placed fewer than seven days before an event may require immediate payment in full.

  1. Changes to an order

Requests to change an order must be made in writing.

We will make reasonable efforts to accommodate changes, but changes are subject to availability and may affect the price.

Final guest numbers must be confirmed no later than 72 hours before delivery or service, unless another deadline is stated in your quotation.

If numbers decrease after the final confirmation deadline, the original confirmed amount will remain payable.

If numbers increase, we will confirm whether the additional guests can be accommodated and advise you of any extra charge.

  1. Customer cancellations

Because our food is purchased and prepared specifically for each order, cancellation charges may apply.

Unless different terms are stated in your quotation:

  • More than seven days before delivery or the event: payments will be refunded, less the deposit and any costs already incurred specifically for the order;
  • Between three and seven days before delivery or the event: 50% of the total order value will remain payable;
  • Fewer than 72 hours before delivery or the event: the full order value will remain payable.

Where an order includes specially sourced products, personalised items, equipment hire, external suppliers or committed staffing costs, those costs may remain payable regardless of the cancellation date.

Nothing in this section affects any cancellation or refund rights that a consumer is legally entitled to exercise. However, statutory cancellation rights may not apply to perishable food, goods made to a customer’s specifications or catering services arranged for a specific date.

  1. Cancellation by Event Kitchen

We may cancel an order where:

  • Payment has not been received by the applicable deadline;
  • We do not receive the information required to fulfil the order;
  • The delivery or event would present a health and safety risk;
  • The customer has provided materially inaccurate information; or
  • Circumstances beyond our reasonable control prevent us from providing the order.

If we cancel for reasons within our reasonable control, we will refund payments received for services we cannot provide.

We will not be responsible for indirect losses resulting from a cancellation, subject always to your statutory rights.

  1. Delivery and access

The customer must provide a complete and accurate delivery address, contact number and delivery instructions.

The customer is responsible for ensuring that:

  • Safe and reasonable access is available;
  • Any parking or access permissions have been arranged;
  • Someone authorised to accept the delivery is present;
  • Suitable tables, surfaces or storage areas are available where required; and
  • Event Kitchen has been informed of stairs, loading restrictions, security requirements or other access difficulties.

Delivery times are estimates unless a specific time has been expressly agreed in writing. We recommend allowing a reasonable delivery window before food is required.

Where delivery is delayed because nobody is available, access is restricted or information is incorrect, additional waiting or redelivery charges may apply.

Risk in the products passes to the customer when delivery has been completed or the products have been collected.

  1. Food quality and storage

Our food is freshly prepared and should be consumed within the period advised by Event Kitchen.

The customer is responsible for storing, handling and serving food safely after delivery, particularly where food is delivered chilled or is not being served immediately.

Event Kitchen cannot accept responsibility for food that has:

  • Been stored outside the recommended temperature range;
  • Been left unrefrigerated or uncovered;
  • Been reheated contrary to our instructions;
  • Been kept beyond the recommended consumption period; or
  • Been handled or altered by another person after delivery.

Any leftovers are retained and consumed at the customer’s own risk.

  1. Allergens and dietary requirements

Customers must provide complete and accurate information about allergies and dietary requirements when ordering.

Our food is prepared in kitchens where allergens, including gluten, milk, eggs, nuts, peanuts, sesame, soya, fish, crustaceans, molluscs, celery, mustard, lupin and sulphites, may be present.

Although reasonable care is taken, we cannot guarantee that any product is completely free from traces of an allergen due to the possibility of cross-contact.

Labels such as vegetarian, vegan, gluten-free or dairy-free describe the intended ingredients and do not necessarily guarantee the absence of cross-contact.

Customers are responsible for communicating relevant allergen information to their guests. Anyone with a severe allergy should contact us directly before placing an order.

  1. Menu substitutions

All products and ingredients are subject to availability.

We may occasionally substitute an ingredient or product with a suitable alternative of similar type, quality and value. We will try to notify you where the substitution is significant.

We will not make a substitution affecting a declared allergen or dietary requirement without taking reasonable steps to obtain the customer’s agreement.

Presentation, garnishes and individual products may differ slightly from website photographs.

  1. Equipment, crockery and hired items

Where equipment, serving dishes, crockery, cutlery or other reusable items are supplied, they remain the property of Event Kitchen or the relevant hire company.

The customer is responsible for keeping hired items secure and making them available for collection at the agreed time and location.

Charges may apply for items that are lost, damaged, broken or unavailable for collection.

  1. Venue and event requirements

The customer is responsible for confirming that the venue is suitable for the agreed catering service.

Unless expressly included in our quotation, the customer must arrange:

  • Access to power and water;
  • Suitable preparation and service areas;
  • Waste disposal facilities;
  • Tables, chairs and linen;
  • Venue permissions;
  • Alcohol licences; and
  • Any other licences or approvals required for the event.

We may suspend or modify service where conditions create a risk to our employees, customers or guests.

  1. Complaints

Please inspect your order when it is delivered or collected.

Missing, incorrect or visibly damaged items should be reported as soon as possible, preferably before the food is served, so that we have a reasonable opportunity to investigate and put matters right.

Complaints should be sent to:

Email: [insert email address] Telephone: [insert telephone number]

Please include your name, order number, event date and photographs where relevant.

  1. Liability

Nothing in these Terms and Conditions excludes or limits liability where doing so would be unlawful, including liability for death or personal injury caused by negligence, fraud or breach of statutory consumer rights.

Subject to those exceptions, Event Kitchen will not be responsible for:

  • Loss arising from inaccurate information supplied by the customer;
  • Deterioration caused by improper storage or handling after delivery;
  • Delays caused by access restrictions or incorrect delivery details;
  • Indirect or consequential losses; or
  • Business losses arising from an order placed by a consumer.

For business customers, our total liability in connection with an order will not exceed the total amount paid or payable for that order, except where such a limitation is prohibited by law.

  1. Events beyond our control

We will not be responsible for delay or failure caused by circumstances beyond our reasonable control.

These may include severe weather, flooding, fire, road closures, transport disruption, utility failures, supplier failure, industrial action, public-health restrictions or other emergencies.

We will contact you as soon as reasonably possible and try to agree a suitable alternative.

  1. Website information

We take reasonable care to ensure that website descriptions, availability and prices are accurate. Errors may occasionally occur.

Where an obvious pricing or description error is identified, we may decline or cancel the affected order and refund any payment received.

Website photographs are illustrative and presentation may vary.

  1. Personal information

We process personal information in accordance with our Privacy Policy.

Information supplied in relation to allergies or health-related dietary requirements may constitute sensitive personal information. It will only be used where necessary to safely manage the relevant order.

Our Privacy Policy and Cookie Policy should be read alongside these Terms and Conditions.

  1. Governing law

These Terms and Conditions are governed by the laws of Ireland.

If you are a consumer resident in Ireland, disputes may be brought before the Irish courts. You may also have rights to bring proceedings in another jurisdiction under applicable consumer law.

  1. Changes to these terms

We may update these Terms and Conditions periodically.

The version applying to an order will be the version available when the order was placed or the quotation was accepted, unless a change is required by law or agreed with the customer in writing.
